MARKETING & PROMOTIONS PRIVACY NOTICE

1.           SCOPE OF THIS NOTICE

This Privacy Notice explains how we collect and use personal data in connection with our marketing activities, including prize draws, competitions, giveaways, events, surveys and other promotional campaigns (“Promotions”).

It applies whether you enter via social media platforms, email, paper forms, in person, at events, or other promotional channels.

This notice does not apply to personal data collected solely through our website, which is covered by our separate Website Privacy Policy.

3.           WHAT PERSONAL DATA WE COLLECT

              The personal data we collect depends on the specific Promotion. It may include:

• Name;
• Date of Birth (for age verification);
• Email address;
• Postal address (including postcode);
• Telephone number;
• Social media username or profile details;
• Company name and job title (for business promotions);
• Photographs or video footage (where relevant);
• Marketing preferences;
• Responses submitted as part of the promotion.

4.           LAWFUL BASIS FOR PROCESSING

              We process personal data under the following lawful basis:

(i).          Article 6(1)(b): Performance of a contract –

Where processing is necessary to administer the Promotion in accordance with its terms and conditions.

(ii).         Article 6(1)(c): Legal obligations –

               Where we mist comply with legal or regulatory requirements.

(iii).        Article 6(1)(f): Legitimate interests -  including:

• Administering and managing Promotions;
• Fraud prevention and ensure fair entry;
• IT and system security;
• Direct marketing to business contacts;
• Announcing limited winner information in accordance with advertising rules.

Where we rely on legitimate interests, we ensure our interests do not override your rights.

(iv).        Article 6(1)(a): Consent – where required, including:

• Sending electronic marketing to individuals where required under PECR;
• Any optional promotional photography or publicity beyond basic winner announcements.

5.           HOW WE USE YOUR PERSONAL DATA -

              If you enter one of our Promotions, we use your personal data to:

• Administer and manage Promotions;
• Verify eligibility (including age versification where required);
• Select winners (whether randomly or based on skill, depending on the Promotion);
• Contact winners;
• Deliver prizes;
• Announce winner details where required;
• Prevent fraud or misuse of Promotions;
• Comply with legal or regulatory requirements.

We will not use your Promotion data for marketing unless you have separately consented to receiving marketing communications.

In accordance with UK advertising rules, we may publish limited winner information such as surname and county or general location. If you object to your details being published, please contact us. We may still need to provide winner information to regulators on request. Where more extensive publicity is involved (for example, photography, interview or video content), we will obtain consent where required.

Where Promotions are run via third-party platforms (such as Facebook, Instagram or LinkedIn), we collect personal data that you choose to make available to us via those platforms. We are not responsible for the privacy practices of those platforms, and we encourage you to review their privacy policies.

6.           HOW LONG WE KEEP YOUR DATA

We retain personal data only for as long as necessary for the relevant Promotion and related legal or regulatory purposes:

• Non-winning participants: deleted within a reasonable period after the Promotion closes;
• Winners: retained for up to 12 months after prize fulfilment.
• Customer transaction records: retained in line with statutory requirements (typically 6 years).
• Marketing data: until you unsubscribe or withdraw consent.

7.           WHO WE SHARE YOUR DATA WITH

              We may share your data with the following:

• IT and hosting providers;
• Professional advisors;
• Event organisers or ticketing providers (for prize fulfilment);
• Delivery and logistics providers;
• Co-promoter or brand partners (where a Promotion is jointly run).

We require all third parties to respect the security of your data and process it lawfully.
